The job runs well beyond setting a condenser on a pad. A competent contractor calculates the load, selects matched equipment, pulls the permit, installs to code and proves the system performs before leaving.

The definition, plainly

An AC installation contractor is a licensed heating and air conditioning company that designs and installs cooling systems in homes and commercial buildings. The work covers central air conditioners, heat pumps, ductless mini-splits and the ductwork, refrigerant lines, electrical connections and thermostats that make them run.

Most states license HVAC contractors at the state level. Florida issues Class A and Class B air conditioning licenses through the DBPR, California requires a C-20 Warm-Air Heating, Ventilating and Air-Conditioning license from the CSLB, and Texas licenses through the TDLR. The person on your roof or in your attic is often a technician working under that license.

Homeowners replacing a central air system that is 15 to 20 years old, buyers of new construction, owners converting window units to central air, and anyone adding cooling to an addition or a converted garage all need an installation contractor rather than a repair technician.

Installation versus repair

An air conditioner repairman diagnoses a fault in an existing unit: a failed capacitor, a refrigerant leak, a seized blower motor. An installation contractor replaces or builds the whole system. Many companies provide both installation services and repairs, which is convenient, but the skills are not identical.

Installation quality decides how the system performs for the next two decades. The Department of Energy has cited field studies showing that poorly installed systems can lose 30 percent or more of their rated efficiency through bad airflow, incorrect refrigerant charge and leaky ducts.

What is included in the scope

A complete installation includes removal and legal disposal of the old unit, recovery of the old refrigerant under EPA Section 608 rules, a new outdoor condenser and matched indoor coil or air handler, a new line set or a flushed existing one, a new pad, disconnect, and a thermostat.

Duct sealing, duct replacement, electrical panel work, condensate drain rerouting and attic platform repairs are sometimes needed but are not automatically included. Ask for every item in writing so two quotes can be compared on the same basis.

How Do You Choose a Licensed and Insured AC Installation Contractor?

Licensing, certification and insurance are verifiable facts, not marketing claims. Check each one before you sign.

Every state that licenses HVAC work publishes a searchable register. Look the company name up on the official state board site, confirm the license is active and in the right classification, and note whether any disciplinary actions are listed.

Some states, such as Florida and California, license at state level; others delegate to counties or cities. Where a county license applies, the city building department will tell you which license the permit requires.

EPA Section 608 certification is a federal legal requirement under the Clean Air Act for any technician who handles refrigerant. There is no exception for installers. Ask whether the technicians who will be on site hold Type II or Universal certification.

A contractor should carry general liability insurance and workers' compensation coverage for every employee on your property. Ask for a certificate of insurance issued to you by the insurer, not a photocopy, and confirm the dates cover the installation period.

Many states also require a surety bond as a condition of licensing. The bond protects the customer if the contractor abandons the job or fails to pay for the equipment.

Manual J, Manual S and a written proposal

ACCA Manual J is the industry standard load calculation that determines how many BTU per hour a house actually needs. Manual S selects equipment to match that load, and Manual D sizes the ductwork. A contractor who sizes by square footage or by copying the old unit's tonnage is skipping the engineering.

The proposal should name the equipment model numbers, the SEER2 rating, the refrigerant, the permit, the labor warranty term and the payment schedule. Verbal promises do not survive a dispute.

What Happens During a Professional AC Installation?

A well-run installation follows a predictable sequence. Knowing the steps makes it clear when a contractor is cutting corners.

1. In-home assessment

A technician or comfort advisor measures the home, inspects the existing ductwork, checks the electrical service and runs a Manual J load calculation. Expect this visit to take 60 to 90 minutes for a typical house.

2. Equipment selection

The contractor should recommend two or three options at different efficiency tiers, with matched indoor and outdoor components. Mismatched coils and condensers void manufacturer warranties and lower efficiency.

3. Permit and scheduling

Almost every jurisdiction in the United States requires a mechanical permit for a new or replacement air conditioner. The contractor pulls it. Lead times run from a few days to two weeks depending on the city and the season.

4. Removal and installation

The old refrigerant is recovered, the old unit is removed, and the new condenser, coil, line set and electrical disconnect are installed. A standard changeout is complete in four to eight hours; a new system with ductwork takes two to five days.

5. Commissioning

Commissioning is where installations succeed or fail. The technician verifies airflow, measures static pressure, weighs in the refrigerant charge, checks superheat and subcooling, and tests the thermostat and condensate drain. Ask for the readings in writing.

6. Inspection and warranty registration

The city inspector signs off on the permit. The contractor then registers the equipment with the manufacturer, which is what unlocks the full parts warranty. Unregistered equipment often carries only a five-year warranty instead of ten.

SEER2, Refrigerants and Sizing: The Requirements That Matter

Federal rules changed in 2023 and again in 2025. A contractor who cannot explain them fluently is not keeping up.

SEER2 minimums by region

The Department of Energy replaced SEER with SEER2 on January 1, 2023, using a test procedure with higher external static pressure that better reflects real ductwork. The minimum for new split-system air conditioners is 13.4 SEER2 in the North and 14.3 SEER2 in the Southeast and Southwest regions for systems under 45,000 BTU per hour.

Energy Star certified central air conditioners must meet a higher bar. The efficiency you pay for only shows up on the energy bill if the system is sized and charged correctly.

The 2025 refrigerant transition

Under the AIM Act, the EPA required that new residential air conditioning systems manufactured from January 1, 2025, use refrigerants with a global warming potential below 700. R-410A is being replaced by R-454B and R-32, which are mildly flammable A2L refrigerants that require updated handling and leak-detection practices.

Existing R-410A systems can still be serviced and repaired. A new system installed in 2026 should use an A2L refrigerant unless the contractor is fitting older stock, which is legal but worth knowing about because R-410A prices are rising as production winds down.

Tonnage and the sizing problem

One ton of cooling removes 12,000 BTU of heat per hour. Residential units range from 1.5 to 5 tons. The old rule of 20 BTU per square foot is a rough starting point only; insulation, window area, orientation, ceiling height and local climate change the answer substantially.

Oversized units short-cycle, which leaves the home humid and uncomfortable and wears out the compressor. Undersized units run constantly and never reach setpoint on the hottest days. Manual J exists to avoid both.

Heat pump or air conditioner

A heat pump is an air conditioner that can run in reverse to provide heating. In the Southeast, Texas and the Southwest, a heat pump often replaces a furnace and an AC unit together. In colder northern states, a cold-climate heat pump or a dual-fuel setup with a gas furnace is the usual recommendation.

Ductless mini-split systems are heat pumps too, and they suit homes with no existing ducts, additions and converted spaces where running new ductwork would be impractical.

Common Mistakes When Hiring an AC Installation Contractor

Accepting a quote over the phone

A price given without a site visit ignores the ductwork, the electrical panel, the line set condition and the actual cooling load. It will either rise once work starts or produce a system that was never sized for the house.

Skipping the permit to save time

Unpermitted HVAC work surfaces at resale, during an insurance claim or when the manufacturer asks for proof of a code-compliant installation. The permit fee is small relative to the job. A contractor who offers to skip it is telling you how the rest of the work will go.

Paying in full before the work is complete

A deposit to order equipment is normal, commonly 10 to 30 percent. Final payment should follow commissioning and, ideally, the passed inspection. Several states cap the deposit a licensed contractor may take; California limits it to 10 percent or $1,000, whichever is less.

Confusing the parts warranty with a labor warranty

Carrier, Trane, Lennox and Goodman typically provide a ten-year parts warranty on registered residential equipment. That warranty does not cover labor. The contractor's own labor warranty, usually one to two years and sometimes ten with a maintenance plan, is a separate promise and should be in the contract.
